Viseven Group delivers intelligent solutions for Pharma Companies. Our complex approach - Digital Content Factory - includes pharma marketing materials creation from scratch (storyboard, design, texts, development), brand strategy and rebranding, localization and adaptation of interactive presentations, infrastructure setup, SMM, business analysis, trainings and workshops, and much more. Currently we are looking for a proactive and positive Office Manager to add value to our team and ensure efficient workflow in the office in Kyiv.

 

Office Manager

 

Required skills and knowledge:

  • experience in administration role (Office Manager, Personal Assistant, Departments Assistant)

  • high attention to details, self-organization and ability to multitask

  • good English skills in order to be able to communicate with our customers and foreign guest

  • ability to work with Google docs, and the whole MS Office package

  • analytical and problem-solving skills

  • good sence of humour and positive vibe is a must

 

Comparative advantage:

  • experience of visa-opening and travel arrangements

  • general understanding of IT sphere

 

Role description:

  • manage phones and correspondence

  • greet and work with visitors

  • work with suppliers

  • provide office support: procurement: control food, stationary and household deliveries, furniture etc

  • control office functionality etc.

  • welcoming visitors (show the highest standards of hospitality and welcome, reserve transfer, organize coffee brakes, ensure catering)

  • organize business trips (tickets and insurance purchase, hotels booking, visa maintaining)

  • supporting team members during business trips

  • relocation process organization and management

  • translate documents when required

  • organizing and scheduling meetings

  • preparing and processing different types of invitations for foreign customers and partners

  • communicating with translators, notaries,  realtors, couriers, drivers, support services of different companies  etc. when required

  • support of other company departments
