We invite an intelligent and hardworking Office Administrator to handle various office assignments. The position will be interesting for those candidates, who love to switch among different tasks and functions.

 

Office Administrator directs and coordinates office activities, improves the efficiency of the company, helps to achieve the company's mission and goals, and as a result achieves excellent customer service. 

 

Responsibilities:

  • Routine work: Provide day-to-day administrative support to the team. Handle incoming and outgoing correspondence and telephone calls. Reception of guests, laying the table. Coffee, tea, first-aid kit. Preparing monthly payments
  • Paperwork: Development of Office Management related documents, receipt of registered mail, maintenance of official correspondence (incoming/outgoing), formal communication with renter services on organizational matters (employees passes activities, renter administrative instructions receipt and their terms following, etc.), preparation of official letters, orders, keeping the required document copies (passports, cards, etc.)
  • Office management: procurement of goods, stationary, office furniture, ordering of air-conditioner repair, etc. Support of delegations (access cards, agenda, preparing of meeting rooms), communication with courier services. Assistance in employees' relocations between offices. Organize corporate events
  • Other duties: Parking arrangement and payments for parking. Working with 1C
  • Logistics: preparation of visas, permits, insurances, etc., receipt of delegations (agenda, accommodations, transportation, excursions), travels and relocation of company employees (tickets, travels, accommodation, assistance in IT hardware relocation), communication with courier services. Assistance in employees' relocations and renting of flats, assistance in legalization of employees in Ukraine

 

Requirements: 

  • Organizational skills, ability to work on few projects simultaneously, time management skills
  • Very attentive to details, ability to work with strict deadlines
  • Excellent communication skills
  • Cordial and friendly nature
  • Al least Intermediate level of spoken English
  • Good PC user (MS Office)
  • Experience in travel sphere would be a plus
