Job summary
We are looking for a Receptionist to manage the front desk and related responsibilities on a daily basis. In this role, you will often be the first point of contact for our company. Your duties will include but are not limited to offering administrative support across the organization, welcoming guests, coordinating front-desk activities and basic office maintenance services. Ultimately, your main objective is to ensure that the front desk experience is welcoming and positive and to execute all administrative tasks to the highest quality.
To succeed, you should be comfortable in a customer or client facing role and always be ready to deal with fast-paced situations in a timely and effective manner. Multitasking and time management skills are essential for this position.
Responsibilities and Duties
Welcome any guests at front desk and direct them to the appropriate contact
Ensure reception area is well-maintained and equipped with necessary stationery and material (e.g. pens, forms, brochures, etc)
Keep updated records of office used consumables (stationary)
Receive, register, sort and distribute daily mail, documents
Maintain office security by following safety procedures and protocol
Manage office support and handle feedback/complaints
Update calendars and schedule meetings
Manage office library
Maintain corporate taxi accounts
Work with the Business center management to support logistical items like guest/employee access to the office, parking access, etc.
Manage office lunches and various requests via Service Desk
Qualifications and Skills
Experience working as a Receptionist, Front Office Representative or on similar role
Hands-on experience with standard office equipment (printers, PC)
Solid written and verbal communication and presentation skills
Resourceful and proactive attitude when potential issues arise
Excellent organizational skills
Time-management and prioritizing skills
Customer service oriented and flexible attitude
Advanced written and spoken English level
