Role background:

Office Manager will be performing basic clerical, administrative, and general office duties involving, file maintenance, document creation, mail distribution and telephone reception.

Also, Office Manager will be delivering the accurate procurement of kitchen supplies and office general supplies, will be engaged in office maintenance and working with BioStar (ACS) and provide attendance reports.

Key responsibilities:

  • General administrative and clerical support. Answer phones and transfer to the appropriate staff member. Greet public and clients and direct them to the correct staff member.
  • Coordinate courier service (receive, sort, and distribute incoming mail, prepare outgoing mail for distribution). Receive/send equipment from/abroad and support customs clearance process.
  • Monitor and maintain office supplies (availability control, ordering and distributing).
  • Hold office supplies and minor facility requests in Cube.
  • Office supplies budgeting and reporting about expenses.
  • Supervision of cleaning ladies, security guards and maintenance.
  • Control agreements and collect documents from suppliers. Vendors register and assessment.
  • Submit reports on SharePoint.
  • Co-ordinate and organize appointments and meetings. Assist with event planning and implementation. Control conference rooms fulfillment with stationery, etc.
  • Support guests visit to the office: lunch ordering, conference rooms booking and preparation, taxi ordering, etc.
  • Perform work related errands as requested such as going to the post office and bank (deliver urgent documents).
  • Issue access cards for personnel. Work in BioStar (Access Control System) and perform reports (attendance report of your location, reports of enters/exits to restricted zones, etc.).
  • Preparation of set for Newcomers.
  • Manage Parking places for personnel (search, payment, and distribution).
  • Work in workplaces reservation system.

Professional experience & skills:

  • University education.
  • Work experience from 1 year on position CRES Workplace Services Associate/Office Manager/Office Assistant/Receptionist.
  • Intermediate English spelling and grammar.

Personal qualifications and skills:

  • Organizational skills, communication skills, multitasking, problem solving.
