Admin, logistic assistant

ACTED is a French humanitarian organization present in over 40 countries globally. With large presence in Ukraine for the past 7 years, ACTED is actively responding to the refugee crisis in this country. We are looking for a dynamic, multi-tasking, flexible and result oriented colleague to join our quickly expanding team in Ukraine.

Responsibilities

• Assist Area Coordinator and Senior Logistic Officer for preparing all administrative letters and forms
• Updating the staff follow up tables with logistics and finance
• Assist Area Coordinator and Finance/HR/Logistic departments in order to make sure that all Admin FLATS procedures are implemented and following regularly
• To be in charge of contracts making and / or renewal as and when requested by Senior Logistic Manager/Officer or Area Coordinator
• Ensure the safety and effective use of all ACTED assets and property in Kharkiv
• Providing support to program teams during project implementation
• Physical and electronic filing (scanning) of HR, Administration, and Logistics documentation in line with ACTED procedures
• Coordinate deliveries to field bases with field-based teams
• Coordinate travel of ACTED staff with field-based teams
• Accountable for the compliance with delivery procedures

Requirements

• University-level education in relevant field
• Excellent computer skills especially in Microsoft Excel, Word, and Outlook
• Excellent Ukrainian communication skills
• At least 1 years of experience in administrative and/or logistics role
• Teamwork and working in a multicultural environment
• Prior knowledge of the region
• Flexibility
• Extreme attention to details
• English language is an advantage
• Ability to work effectively with minimal supervision
