Travel Support Assistant

FunctionsAssistance and support

  • Ensure focal administrative support for visa and TRP processing.
  • Liaise with Government entities on administrative matters, if needed, such as entry visas, residency permits etc.
  • Ensure all the documentation during external liaison is kept safe and confidential, and updating the relevant department/management on the progress of relevant admin work related to Govt. or any line department (Ministries etc), Official agencies or Authorities.
  • Maintain efficient records (soft and hard copy) of travel documents and reports - accommodation tracker, visa and passport tracker. Cooperative with security department on travel planning.
  • Conduct administration orientation – particularly on visa processing and travel support to expat.
  • Track the legality of the stay of expats on the territory of Ukraine according to the terms of stay established by the laws of Ukraine.

Monitoring documentation to work by employees of the organization

  • Fill attendant sheets, time sheets and leave requests.
  • Submit then to Senior HR Manager and Finance Manager for per diems and allowances.
  • Reception of leave request forms.
  • Cunduct collection of Leave request forms and Time sheets.
  • Other tasks set by Senior Admin/HR Manager.

Experience and skills

  • At least 1 year of experience in the humanitarian / administrative and/or development sector.
  • Experience in cooperation with governmental bodies, travel companies, international, foreign representations.
  • Excellent computer skills (Word, Exel, Outlook calendar)
  • Spoken English

  • strong organizational skills
