We are looking for a TRAVEL SUPERVISOR to lead, manage and develop the Travel Department (Kyiv office) together with Travel Manager adding value to Click Aviation Network. 

.

 

MAIN TASKS AND RESPONSIBILITIES:

 

  • In conjunction with Travel Manager prepare and implement SOP and communication protocols within the company relevant to Travel Department.
  • Train and develop Travel Coordinator's skills to improve quality.
  • Enforce strategies as setup by Travel Manager.
  • Coordinate developing of vendors' network by negotiating preferential terms and identifying business opportunities.
  • Ensure accuracy of travel briefing and assist Travel Manager to identify shortages in processes within the department. 
  • Deal with client complaints addressing these to Travel Manager respectively to achieve satisfactory outcome and take preventive measures.
  • Prepare and type reports, bookings and all necessary relevant information as required by Travel Manager.
  • Acts as quality control of briefings in regards to travel confirmations and bookings.
  • Assists accounting department to ensure accurate charges apply for invoicing.
  • Compile, prepare, and distribute correspondence to relevant departments, such as weekly reports, hotel and transportation booking, accounting.
  • Assist Travel Manager with suggestions considering price/quality offering "best value for money".
  • Assist Travel Manager with negotiations and company representation in front of external and internal partners / post holders.
  • Manage the daily communication channels which interface with internal and external customers.
  • Influence the decisions by providing feasible option to all operational units to enhance and improve performance in order to meet standards set.
  • Deputize for the Travel Manager in his/her absence.
  • Ensure costs are correctly recorded, reported and charged to the open book clients and providing clients with a cost-effective service, advising on budgets, forecasts and travel aspects of their business.
  • Cooperate with the accounting department to ensure costs, Auditing and Billing are correctly recorded and paid. This will involve preparing cost statements, budgets, forecasts and ensuring all financial aspects of the operation are correctly reported and monitored. Accountable for accuracy of information communicated to Accounting department.
  • Provides support to Travel Coordinators in managing sensitive/difficult travel arrangements or during peak periods as required by internal and external clients (hotel bookings, airline flights, ground transportations and etc. as per company travel policy)
  • Handle emails and telephone calls during peak periods within the agreed service agreement.
  • Deal with and escalation of customer complaint to Travel Manager.
  • Safekeeping Travel System credentials and database.
  • Maintain and update client instructions database and folders.
  • Responsible for safekeeping Click corporate credit cards to avoid misuse and fraudulent transactions.
  • Maintaining and safekeeping of Click Aviation and Clients passports and important documents.
  • Responsible for pre-flight and post-flight monitoring.
  • Communicate corporate rate loading issues, corporate rate discrepancy and new potential suppliers to Travel Vendor Coordinator.
  • Influence the decisions by providing feasible option to all operational units to enhance and improve performance in order to meet standards set.
  • Coordinate and collaborate with all Click Departments.
  • Act as a role model as expected by Click Aviation Network, both to customers internal and external and to own team.
  • Represent Click Aviation Network externally and internally in the best interests of the company.
  • Ability to Supervise and develop team as a whole and each individual team member by identifying shortage of skills and required training.
  • High organizational skills, ability to prioritize especially with keeping tab of all operations and changes.
  • Computer literate with knowledge of booking systems like Amadeus, Galileo, etc.
  • High level of negotiating, influencing and interpersonal skills.
  • Self-motivation and ability to motivate others.

  • Excellent standard of written and spoken English, Ukrainian and Russian; and other language(s) is a plus.
  • He/she must have at least 4 years' experience working in a travel environment, preferably with 2 years on supervisory/managerial level
  • Proven experience in well know travel agency.
  • Experience in Airline Ticketing and booking
  • Travel experience and knowledge of airline/accommodation booking system, loyalty programs in travel industry
  • Degree in Travel (desirable)
