Project Coordinator

JOB PURPOSE

The Ukraine Mental Health Project Coordinator will be responsible for managing, consolidating, and ensuring smooth implementation of the program and operational activities, and all subsequent expansion/extension as required, as well as adherence to logistics, human resources, administration, and security procedures. They will be responsible for defining program activities on the ground.

MAIN DUTIES/RESPONSIBILITIES

• Provide logistical support in implementing MedGlobal Mental Health activities in Ukraine in different hospitals (virtually or in person).
• Follow up closely on need assessments and day-to-day work.
• Coordinate with MOH for implementation of surveys, data collection and beneficiaries’ selection.
• Ensure the implementation of train-the-trainer models in different sites.
• Oversee the selection of appropriate beneficiaries – including organization/institutions, specific leaders within organizations and physicians or nurses (or other healthcare workers) taking part in program
• Have a list of all trainees and their contact information
• Schedule training sessions for all Mental Health modules.
• Make sure all trainees complete all training modules, this will require scheduling of each module more than once and coordinating with trainees to set up a time for the training sessions.
• Send certificates of participation to all trainees
• Monitor day to day progress of mental health Ukraine program and assist with the identification of issues which may affect the quality of program performance and consequent program adjustments
• Prepare quality and timely program progress reports (weekly), and the end of the project report.
• Provide a summary of recommended areas of improvement, areas of success, and leading the execution of an action plan with the Head Office team to evolve and make positive systems improvements for the program.
• Coordinate and act as a liaison between health authorities, hospital administrators and any other relevant stakeholder and MedGlobal to ensure smooth implementation of all related activities for the MedGlobal MentalHealth project in Ukraine.
• Act as a resource to collect and disseminate information to potential and upcoming volunteers, including collection and distribution of required written materials.
• Work with MedGlobal’s Monitoring and Evaluation Specialist to implement M&E for the program at different sites.
• Consider the security implications of all program activities, carefully reviewing new initiatives with the head office program team.
• Contribute to the positive image and overall credibility of the organization, notably through the application of the organization’s Code of Conduct
• Working as a team with other MG project staffs and other support departments including our communications Manager in Ukraine for advocacy purposes.
• Perform additional duties as assigned.

REQUIREMENTS

Skills and Experiences

• Fluency in English and Ukrainian
• Experience with principles and guidelines of program planning and implementation
• Experience with monitoring, survey administration and data collection
• Must have excellent organizational skills and ability to handle multiple tasks in a dynamic, high-pressure environment
• Experiencing with project proposals, budgeting, and reporting methods
• Experience with computer systems, data records, and related software applications
• Excellent attention to detail and strong organizational and project coordination skills
• Maintain flexibility to take on added responsibility when needed.
