Logistics Assistant

HEKS/EPER is looking Logistics Assistant. Base in Odesa.

The Logistics Assistant  will be part of the logistics team. The purpose of the position is to support operation of HEKS/EPER base in Odesa. 

Tasks and responsibilities  

The Logistics Assistant ensures a safe, comfortable, efficient and cost-effective use of the premises (office and rented apartments) in the base location and is responsible for: 

• designing / updating / disseminating office and guesthouse rules among all staff based in and visiting the HEKS/EPER base; 

• management all contractual relations related to base rent, utilities and services; 

• management of communications (phones, internet, radios) and basic IT maintenance in cooperation with both internal and external communications and IT service providers (mobile phone operators, internet providers, printer service providers etc.; 

• supervising filing and archiving of premise’s logistics documentation (rental contracts, PRs for local payments, other supporting documents related to small purchases and costs related to the base); 

• implementing assets management system (for all assets linked to the premise(s)): procurement, registration, inventory, maintenance, disposal; 

• replenishment and stock of consumables and stationery used in the office; 

• basic maintenance of office and rented apartments, or arrangement of maintenance and its expenses; 

• managing spare keys to guesthouses and offices – arranging spare copies of key and keeping them in safe place with restricted access; 

• organizes efficient and adequate lodging premises for permanent or visiting staff, including its maintenance and equipment arrangements; 

• managing base support staff (cleaners); 

• ensuring guest service (accommodation in guetshouses and/or hotels, welcoming guests, arranging public transportation tickets and transportation to/ from bus/ train stations, providing visitors with mobile phones, sim cards and information about orientation in the city); 

• arranging small local purchases; 

• ensuring cost efficiency of base related costs; 

• following HEKS/EPER internal procedures and using all relevant tools; 

• performing other duties as assigned.

Job requirements:  

Knowledge: 

• At least 2 years’ experience in a similar position 

• Advance IT knowledge (hardware and software, Microsoft Office, Internet) 

• Previous experience with an NGO is appreciated 

• Previous experience in emergency response is appreciated  

Skills:  

• Required qualities: organized, sense of human relations, diplomacy, communication skills 

• Desirable: proactive, autonomous, rigorous, analytical, willingness and motivation to work in an international and intercultural context 

Languages: 

• Fluent in English and Ukrainian (written and spoken)
