POSITION SUMMARY 

HIAS Ukraine is looking for an Operations Assistant to join a small but dynamic team based in Ukraine. The assistant will support daily activities of the Operations department, helping with filing, inventory, low-value procurements, and other tasks as assigned, to ensure smooth processes and compliant documentation.   

ESSENTIAL FUNCTIONS

  • Participate in preparation of periodic procurement documents i.e. tenders, procurement plans, tracker and monthly reports;
  • Provide support with travel arrangements and booking process;    
  • Assist Operations Manager as well as the whole operations team in maintaining daily work of Kyiv office and regional offices;
  • Ensuring timely and efficient internal communication on office needs and operations related processes, between reginal offices;   
  • Ensure the proper filing of operational processes;  
  • Draft framework agreements and contracts for approved vendors and supplies;
  • Maintaining vendor database;
  • Maintaining inventory database;
  • Ensure that the vendors provide the delivery of goods and services within the requested timeframe and that the goods are received are in good condition;
  • Work closely with the Finance and Accounts Team in ensuring that supplier’s invoices are processed and paid on a timely manner;
  • Support Procurement and Logistics team in regards of all related issues if required;
  • Any other task assigned from time to time.

QUALIFICATIONS & REQUIREMENTS

  • Bachelor’s degree;
  • Minimum 2 years of work experience in administration, procurement, operations or any related field;      
  • Experience working in a non-profit organization would be beneficial but is not mandatory;
  • Great organizational and planning skills
  • Demonstrated customer-service orientation;
  • Excellent verbal and written communication skills;
  • Willingness to learn; 
  • Must be skilled at handling multiple tasks and able to adhere to tight deadlines;
  • Proficient in Microsoft Office applications;
  • Advanced English skills preferred;
  • Fluent in Ukrainian language.
