Role: As a Logistics Officer, you will oversee procurement and supply chain operations, ensuring effective management from supplier selection to inventory control. Your role involves coordinating with field offices to streamline logistics and maintaining compliance with organizational standards through detailed documentation and quality checks. This position requires strong organizational skills and the ability to work effectively in both team settings and independently. 


Mission: Geneva Call, registered and active in Ukraine since 2018 and with offices in cities including Kyiv, Kharkiv, Dnipro, and Odesa, has a strong partnership with the Ukrainian community and international partners. The organization focuses on providing training related to the LoAC/IHL, collaborating closely with the military, volunteers, and local authorities. It uses the expertise of Ukrainian veterans and active military members to provide specialized training and initiatives like the Code of Warriors of Light, reflecting Ukraine's spirit. 

The organization's mission is to support Ukraine's commitment to law and international standards, rather than investigating conflict law violations. Geneva Call emphasizes good practices within the Ukrainian military, offering guidance on the practical application of national and international conflicthumanitarian laws through tailored field training, particularly for military operators. This approach helps in making sound, ethical decisions in difficult combat situations and strengthens Ukraine's alignment with global standards, contributing to the nation's international objectives.

Responsibilities:

Procurement FunctionsGather quotes, monitor market prices, and identify new suppliers for required goods and services. Conduct bid analyses and assist with requests for quotations. After procurement, collect relevant invoices and acceptance documents from suppliers. Ensure supplier registration documents correspond with the provided goods or services. 

Supply Chain Management: Oversee the procurement process using appropriate documentation and templates. Ensure adherence to organizational and donor procurement policies. 

Inventory and Quality Control Management: Maintain an organized system for inventory and quality control of all items, including equipment, supplies, and printed materials. Verify the quality of purchased items in collaboration with requesters. Keep detailed and timely records, ensuring proper storage and compliance with inventory standards. Provide updates on inventory status to the accountant as needed.

Vehicle and Transportation Management: Organize transportation for field visits, coordinate with vehicle service providers, and maintain vehicle operation records. Provide timely fuel and mileage records for the Kyiv office to the accountant. Manage vehicle records at the field level in coordination with drivers. 

Field Office Coordination: Collaborate with field offices to manage shipments and supply chains effectively. Provide logistical support in partnership with field office assistants and drivers to ensure smooth operations across locations.

Documentation and Compliance: Manage the archiving and maintenance of procurement and administrative files in line with organizational and donor standards.

Other Responsibilities: Perform administrative support tasks as assigned by the supervisor on a case-by-case basis.

Selection Criteria:

Education: Secondary school diploma required. A bachelor's degree in finance, logistics, supply chain management, or a related field is advantageous

Experience: Minimum 2 years in similar roles, preferably with logistics or supply chain experience. Familiarity with financial processing and administration highly preferred. Experience in humanitarian organizations valued as an advantage.

Teamwork and Independent Operation: Demonstrated ability to work effectively both independently and as part of a team. Known for excellent interpersonal skills, capable of networking effectively in multicultural settings and maintaining strong professional relationships. 

Technical Proficiency and Responsiveness: High competency in MS Office, particularly Excel, and comfort with electronic banking operations and financial software. Ability to react promptly to urgent situations and willingness to travel to high-risk areas, including conflict zones. 

Languages: Ukrainian. Proficiency in English (B2 / C1 / C2 level) desirable, but not required.
