Key responsibilities:
Manage issues connected with office facilities, undertake appropriate actions liaising with contractors
- Identify the need and organize timely office supplies (office furniture, stationery, water/coffee/tea)
- Coordinate the work of service providers ensuring high quality service standards (cleaning, facilities, taxi, etc.)
- Run inventory of the office furniture
- Coordinate Subscriptions for Kiev office
- Coordinate implementation of EHS management systems, programmes as well as ensure that appropriate training materials are available for all employees
- Manage facilities budget in an effective way, provide necessary reports
- Manage contracts with service providers ensuring high quality service
- Supervise the work of the receptionist, courier give proper support and development
- Build and maintain effective working relations with BAT staff and external service providers
- Build and manage effective relationship with the landlord, operational services for office premises resourcing, repair works, etc
- Contribute proactively to establishing a high-performing Facilities team
- Identify and implement optimization and improvement of the facilities related processes
Main requirements:
- University degree
- Good organisation, communication and negotiation skills
- Proactive thinking
- Ability for efficient problem solving and budget managing
- People management skills
- Computer skills (MS Office)
- Excellent command of English and Ukrainian
- Good knowledge of all local legislation and regulations and guidelines on Environmental, Occupational Health and Safety matters
