Office Administrator

Key responsibilities:

• Manage issues connected with office facilities, undertake appropriate actions liaising with contractors

• Identify the need and organize timely office supplies (office furniture, stationery, water/coffee/tea)
• Coordinate the work of service providers ensuring high quality service standards (cleaning, facilities, taxi, etc.)
• Run inventory of the office furniture
• Coordinate Subscriptions for Kiev office
• Coordinate implementation of EHS management systems, programmes as well as ensure that appropriate training materials are available for all employees
• Manage facilities budget in an effective way, provide necessary reports
• Manage contracts with service providers ensuring high quality service
• Supervise the work of the receptionist, courier give proper support and development
• Build and maintain effective working relations with BAT staff and external service providers
• Build and manage effective relationship with the landlord, operational services for office premises resourcing, repair works, etc
• Contribute proactively to establishing a high-performing Facilities team
• Identify and implement optimization and improvement of the facilities related processes
  

Main requirements:

• University degree
• Good organisation, communication and negotiation skills
• Proactive thinking
• Ability for efficient problem solving and budget managing
• People management skills
• Computer skills (MS Office)
• Excellent command of English and Ukrainian
• Good knowledge of all local legislation and regulations and guidelines on Environmental, Occupational Health and Safety matters
