Administrative Assistant / Office Manager

Functions:

  • Manage ordering of Kiev office and regional offices supplies (grocery, stationery, furniture etc.);
  • Manage vendors, service providers and landlord (including canteen)
  • Describe Kiev office and regional offices process per category, mentioning existing in M3 and 3-5 alternative service providers. Once per year/6 months arrange tendering to find optimal partners and service level
  • Document flow (to arrange and manage Kiev-production flow and TNU general flow) 
  • Prepare letters (birthday, internal communication) and translation. TNU official correspondence and parcel deliveries
  • Administration assistance (management team), notes of the meetings;
  • Support with travel arrangements for employees (transport, accommodation, travel agency coordination);
  • Participate in planning and execution of company events and presents (example New Year) 
  • Welcome new employees and arranging first line support (location, keys, working place to be equipped with all needed, business card, introducing to the team and contacts)

Requirements:

  • University Degree;
  • Professional experience within a foreign or structured company at similar position;
  • Knowledge of languages: Ukrainian, Russian – native speaker; English – upper-intermediate; 
  • PC skillsMS Office: Outlook, Word, Excel, Power Point.
