Assignment

Under Logistics Officers supervision Logistics Assistant is responsible for procurement process, accommodation/transportation and office management and preparing, managing, filling and storing documentation.

 

Main duties and responsibilities include:

  1. 1. Procurement
  2. 1. Undertake procurement for the field offices in line with ACTED procurement procedures;
  3. 2. Responsible for preparation agreements, policies and correct package of documents for payment in line with ACTED procurement procedures;
  4. 3. Undertake train, taxi, hotel and guesthouse bookings for ACTED staff in line with ACTED Procedures;
  5. 4. Ensure compliance with internal documentation requirements.
  6. 2. Stock & assets
  7. 1. Responsible for inventories and equipment allocations/movements in Mariupol office.
  8. 3. Fleet & delivery management
  9. 1. Coordinate travel of staff;
  10. 2. Coordinate deliveries of goods/equipment/parcels/etc. among offices.
  11. 4. Documentation management
  12. 1. Prepare, store and update the external agreements for Mariupol office;
  13. 2. Ensure the relevant documentation (receipts, acts of acceptance, signed agreements etc.) is sent or received as required.
  14. 3. Physical and electronic filing (scanning) of Logistics documentation in line with ACTED procedures.
  15. 4. Contribute to monthly Logistics internal reporting.
  16. 5. Office management
  17. 1. Responsible for ensuring the continuous life and proper functioning of the office in Mariupol.
  18. 5. Any other tasks assigned by line manager

 

Requirements:

  • Good organizational skills;
  • Knowledge of local suppliers is an asset;
  • Fluency in English is an asset;
  • High computer literacy (MS Office, Internet);
  • Past experience in logistics role is an asset.
