Meetings & Events Business Partner (Maternity leave position)

Position Responsibilities:

 

  • Cooperation with internal clients (marketing, medical, FF) and providing support to them through all steps of meeting s and events organization. Being a key contact for all enabling departments, providing subject matter expertise for initiatives (cross functional activity).
  • Arranging events' logistics through 3rd party vendor and being the central point of contact for it.
  • Creating of purchase orders and payments related to events
  • Create projects in the system for approving before the events
  • Checking related documentation
  • Control reconciliation tasks after meetings, conferences, sponsorship
  • Ensure compliance processes, local regulations and global policies are followed at the local market level.
  • Provides support to develop local metrics for compliance and cost savings and continuously measure them Initiates yearly congress and event expenses reports for each of the Business Units.
  • Initiates next year's calendars and anticipated congress budgets for each of the Business Units.
  • Supports implement of creative solutions to meetings which may include virtual and other options.
  • Accountability in issue management and resolution in case of such
  • Travels for the big meetings and congresses (on demand).
  • Storages and archiving documents according to relevant process.
  • Administrative support to marketing department

 

Education, skills and experience

  • Bachelor's Degree required.
  • Ability to work in a matrix organization.
  • Demonstrable experience in customer relationship management
  • Local understanding of pharmaceutical business.
  • Flexibility, team work and a collaborative mind set are essential.

 

technical skills requirements

  • Experience in organizing events and meetings ideally in a Pharmaceutical environment
  • Attention to details, time management skills, ability to prioritize, accountable and agile behavior
  • Good oral and written communication skills in English (Upper-Intermediate)
  • Strong interpersonal, communication and presentation skills.
  • Good command of MS Office Applications.
  • Willingness to work in a dynamic environment with high result-orientation.
  • Ability to manage multiple, complex tasks within the same timeframe.
  • Can respond to tight timelines and ability to present and work at all levels of the organization.
