Program Summary:

Project HOPE is providing humanitarian assistance to internally displaced and conflict-affected persons throughout Ukraine, as well as support to refugees in Poland, Romania, and Moldova. The portfolio in Ukraine focuses on Health, Protection, and WASH programming in partnership with two local NGOs, with private funding and support from USAID/BHA.

This position will be based in Ukraine

POSITION SUMMARY: 

PRINCIPAL RESPONSIBILITIES:

 Under the direct supervision of the Program Manager, the Program Assistant is required to provide administrative support to Program team throughout the planning and implementation of programs. Their duties include communicating between program participants and managerial staff, creating and updating program schedules and assisting in the planning and managing program events, provide support on the Infrastructure Management and overall Project Management backstopping and oversight to perform the following specific duties and responsibilities ensuring their effectiveness, transparency and integrity:

  • Support Program team with data entry and consolidation of data when needed.
  • Prepare, organize and deliver forms and documentation needed by the Program team (travel forms, purchase requests, reports etc).
  • Responsible for scheduling visits, meetings, calls to support Program activities.
  • Participating in distributions of humanitarian aid and in other related activities.
  • Perform other related duties as required from Program Manager. 

Travel required up to 50% of time.

QUALIFICATIONS:

  • Bachelor’s/Master’s degree in Administration or in directly relevant area required.
  • Work Experience with an international Organization, UN Agencies or/and international English speaking company is an asset.

·       Experience in communication with high volume of diverse stakeholders (cold and warm contacts) – preferred.

·       Experience in providing administrative and logistical support.

  • High proficiency with computers, and other software/ platforms related to the position’s field of expertise. Good experience in working with the MS Office, G-Suite platform including, Google Drive, Google Calendar, Gmail, Google Sheets, Docs, and Slides is desired.
  • Good problem-solving skills.
  • Excellent interpersonal, written, and oral communication skills.
  • Strong organizational skills.
  • Demonstrated ability to work in a team, in a multicultural environment, prioritize tasks, meet deadlines, and ensure high-quality work.

·       Fluency in Ukrainian, Russian, English and excellent writing skills is desirable. Minimum English requirement: B1 (intermediate).

Physical demands:   

  • While performing the duties of this job, the employee must be mobile in an office environment and able to use standard office equipment. 
  • Must be able to communicate in verbal and written form and must be able to travel internally.
  • Project HOPE employees may be required to travel or work in countries where working conditions are classified as “hardship.”

Work environment:  

  • Typical office environment with exposure to a minimal noise level. 
  • Emergency deployments may be in resource-deprived environments with austere living conditions.
  • Travel for extended periods may be by air and/or other modes of transportation. 
  • Project HOPE employees may be required to travel or work in countries where working conditions are classified as “hardship.”
