Executive Assistant [with Swedish language] — Help a Startup Scale

A fast-growing Swedish startup has one mission: to convert website visitors into customers. They are doing this by providing widgets and popups to schedule real-time calls with a sales team.

The company is growing quickly and the veteran founder is looking for someone to help him juggle daily tasks and the normal organizational startup chaos.

You’ll be working with him very closely and will learn a lot about running a startup. This in-demand skill set will give you plenty of growth opportunities within the company or elsewhere!

Your work will include like:

  • Scheduling calls between multiple parties;
  • Managing the personal calendars and availabilities;
  • Attending calls, taking notes, create recordings, following up with attendees, setting action items;
  • Oversee various tasks and hold people within and outside of the company accountable (basic project management);
  • Inbox management, answering basic queries, getting answers from other team members and not the founder if possible, highlighting important emails, and only letting through urgent matters;
  • Arrange travels, accommodation, tickets, etc. for business and personal travel;
  • Manage private aspects of the founder and his family, including travel plans, leisure arrangements, helping out kids with arrangements or appointments

Required skills:

  • You have excellent written English and verbal English skills — near-native communication;
  • You have conversational to fluent Swedish language skills, ideally, you have lived or studied in Sweden before;
  • You are fluent in Russian to talk to a small team in Russia and make arrangements there;
  • You are available for a remote opportunity full-time;
  • You are well-organized, diligent and a self-starter who doesn’t need reminders. In fact, you like reminding others;
  • You are friendly, helpful, and have a solution-oriented attitude;
  • You have done assistance work before and you’re not afraid of new tasks or challenges;
  • You are fine with being given a task and you’re ready to figure it out, instead of asking about every step;
  • You are not overwhelmed by large to-do lists and inflowing communication from multiple people, and are able to plan, prioritize, and arrange your work accordingly;
  • You are a digital native, are quick with computers and common internet applications, and aren’t afraid of Excel spreadsheets or large documents

As a plus

Any previous experience with a SaaS company
Any previous executive assistant experience
Any previous customer support experience

We offer

  • A good pay: EUR 1.000 — 1.800 per month depending on your experience, especially languages;
