Deutsche Gesellschaft fur Internationale Zusammenarbeit (GIZ) in Ukraine is seeking a qualified professional for the Sustainable Economic Development Cluster to fill the position of the

 

RECEPTIONIST

 

The Sustainable Economic Development Cluster of GIZ improves economical perspectives of Ukrainians by supporting development in trade and vocational integration. Our projects are financed by the German government, the EU and other EU member states.

 

Area of responsibilities

  • liaising with customers in a service-oriented manner on behalf of the office by providing a professional phone service, personally welcoming visitors and maintaining a high standard in the reception area
  • dealing with phone calls related to GIZ
  • ensuring incoming and outgoing calls are efficient and uninterrupted
  • performing reception and secretariat services on a daily basis
  • proactively in charge of the smooth running of the office and secretariat (office management)
  • responsible for floor space management
  • providing conceptual and organisational support to the project management
  • organising administrative and logistical support of project activities
  • organising internal and external meetings
  • support for maintaining and updating a filing system for the office/project
  • providing assistance upon request of the cluster management (e.g. translation, taking minutes, preparing letters)
  • coordinate procurement of office goods and services in coordination with finance and administration staff

 

Requirements to candidates

  • BA in Business Administration, Marketing, Economics or related field
  • At least 3 years of professional experience in a comparable position
  • Excellent organisation skills and experience with event management
  • Ability to accomplish projects on own responsibility within a team
  • Outstanding organisational and time management skills, ability to manage multiple tasks simultaneously, solve problems, manage and meet deadlines and maintain a high quality of work
  • Reliability, confidentiality, flexibility and stress resistance
  • High degree of loyalty, self-organisation and motivation
  • Team player with intercultural communication skills and service-oriented attitude
  • Good working knowledge of MS Office package and handling of modern office equipment
  • Proficient in English, good command of German is an asset, Native Ukrainian and/or Russian
  • Willingness to upskill as required by the tasks to be performed

 

Employment conditions

Full-time position with 40-hours working week until July of 2021.
