Office Manager / Administrative Assistant

Responsibilities:

  • Providing comfortable conditions at the office (ordering needed stuff, coordination of suppliers and cleaners, arranging necessary repairs, etc.);
  • Initiating and implementing improvements of office space and optimizing administrative processes;
  • Searching for various contractors and cooperating with existing ones (fruits&lunch suppliers, courier service providers, etc.);
  • Managing suppliers (food, tea, stationery, branding production etc);
  • Planning, coordinating, and organizing corporate and educational events, team buildings, and other online/offline activities including business trips;
  • Generating ideas for corporate gifts and branded products, as well as sending them to employees;
  • Cooperation with the HR department;
  • Helping with onboarding of newcomers;
  • Office budget control and payments arrangements (regularly reports on expenses);
  • To be involved in the company’s business processes (legal, financial, accountant and other issues);
  • Coordination and control of medical insurance provider to all employees.

Requirements:

  • 2+ years of experience as an office manager or administrative specialist / personal assistant;
  • Intermediate English level;
  • Bachelor’s degree;
  • Financial literacy (able to keep financial records, deal with various calculations);
  • Practical experience with MS Office (with mastery of formulas in Excel), Google Docs, messengers, etc.;
  • Effective communication skills (written and oral);
  • Experience with coordination and scheduling;
  • Ability to prioritize daily tasks;
  • Attention to detail and problem-solving skills;
  • Positive and smiling person;
  • A results-oriented approach to your work;
  • Ability to independently organize your work;
  • Ability to work under pressure and deal with people under stress.
