About the job

In this role, you will provide support for Project Manager and project team, such as project meeting scheduling and securing compliance with working methods and agreed routines. Support with activity planning (e.g. in roll-out projects), report on progress, analyse data and documentation and also support Project Manager with cost management.

 

Important to know that this position is temporary and implies fixed-term employment for 1 year.

 

About the assignment

You will be part of the multinational Expansion & Establishment team, reporting to the Retail Project Manager (Ukraine), and you will:

  • Manage meeting planning and invitations such as taking minutes, manage distribution lists, manage review of invoices, coordinate travels
  • Assemble and run information publishing according to communication plan
  • Secure compliance with working methods and agreed routines
  • Investigate and provide support for decisions
  • Provide general project support within areas of planning, report on progress, analyse data, and documentation
  • Support Project Manager with cost management
  • Support with documentation structure
  • Work across functions within the Retail Country
  • Drive an open and sharing climate, being a role model of the IKEA values

 

Your profile

To be successful in the role, you have:

  • Proven training in Project Administration or equivalent
  • Minimum 3 years of experience from administrative work
  • Proven experience of working with administrative tools such as Basware, MS Office, MS Project, Intranet
  • Experience of work in a construction/development company, dealing with building adaptation, fitout and build-up in retail

  • Participation in retail construction tenders, tight collaboration with technical specialists of both sides will be considered as a benefit

  • Proven experience of working with accounting and cost follow-up tools
  • Multicultural experience
  • Excellent in written and spoken English, and local language/s.
  • Computer literacy

 

Moreover you possess good analytical skills and capability to act with a holistic perspective. Good administrative skills and ability to take responsibility from start to end, achieve goals and keep deadlines. Ability to build trustful relationships and motivate others according to assignment description, ability to work effectively in a multinational/global organisation, to communicate and present clearly within specific area of expertise and ability to work and perform with flexibility and simplicity.
