The HALO Trust is the world’s oldest and largest humanitarian mine action organisation. HALO is a non-governmental, non-political, non-religious organization headquartered in the UK. HALO’s mission is to protect lives and restore the livelihoods of those affected by conflict. We remove landmines and other weapons such as cluster bombs, stockpiles of small arms and improvised explosive devices (IEDs).

HALO Ukraine has been operating since 2016, delivering humanitarian mine action activities, including surveys, mine clearance and explosive ordnance risk education, in Ukraine. The programme currently employs approximately 430 staff members, and has its main operational HQ in Brovary, with a support office in Kyiv.

JOB TITLE: Administrator/Interpreter

Summary

The Administrator/Interpreter provides general administrative and interpreting support to HALO’s Kyiv office and programme staff.

Administration

  • Assist the logistics department in purchasing for the Kyiv Office for office stationery and general supplies;
  • Administrate Kyiv office and accommodation arrangements for international and visiting staff;
  • Organizes office work, receiving incoming calls and managing outgoing calls;
  • Organizes the booking of air and railway tickets for programme staff;
  • Conducting incoming and outgoing correspondence (reception, registration, forwarding);
  • Support with any visitors to office, ensuring provision of hospitality;
  • Support with routine correspondence;
  • Daily maintenance of internal records;
  • Work with primary accounting documentation
  • Providing administrative support to managers, preparation and submission of necessary documentation in Ukrainian;
  • Delivering correspondences to post offices or governmental authorities;
  • Maintaining an archive of documents, letters, information materials;
  • Supervise the Cleaner and coordinate with him/her to ensure cleanliness standards of office are maintained;
  • Supervises the use of office equipment, stationery and consumables in the office.
  • Establishes contacts with maintenance services, utilities for resource provision of office space, repair and other works.
  • Perform other relevant administrative tasks as required

Interpreting/translation

  • Translation of written documentation (English-Russian-Ukrainian);
  • Provide interpreting during meetings.

Role Requirements

  • Appropriate higher education;
  • Minimum 1 year of relevant experience in a similar role; ideally in the context of international organisations
  • Fluency in English, Ukrainian and Russian, written and spoken;
  • Strong computer user and good knowledge of MS Office (Word, Excel, PowerPoint, Outlook)
  • Excellent communication skills;
  • Good organisational and multi-tasking abilities.
