Polish Humanitarian Action (PAH) is currently looking for an Information Management Coordinator

General information: 

Organization: Polish Humanitarian Action (PAH), Warsaw-based international non-governmental organization with a representation office in Ukraine;

Position: Information Management Coordinator

Location: Kiev 

Job terms: full-time

Type of employment: Full time

Duration: 12 months                                                                           

Starting date: ASAP.

About PAH:

Polish Humanitarian Action (PAH) is an international non-governmental organization which since 1992 has been providing humanitarian and development help worldwide. So far, the interventions have been carried out in 46 different countries. By possessing long-standing expertise in the implementation of projects in Water, Sanitation and Hygiene, Food Security and Livelihoods, as well as Nutrition and Education, PAH concentrates its global activities on ensuring sustainable and stable development of regions suffering from the consequences of armed conflicts, natural disasters and other humanitarian crises.

PAH has been present in Ukraine since August 2014 delivering humanitarian aid to the most vulnerable of the conflict-affected population. PAH provides assistance to internally displaced people, elderly and single mothers, and people cut from basics, working in the sectors of Protection, WASH, MPCA, Food Security and Livelihoods.

Key Duties and Responsibilities:

Data Collection and Management:

    • Develop and maintain MIS (Monitoring Information System) system for Program Department 
    •  Support data collecting and ensuring information in the PAH Program database is up-to-date.
    • Orient the team for access and give input into the database and MIS 
    • Support the development of methodologies and tools for data collection and analysis that contribute to the program's information management.
    • Carrying out Mapping of services and analyzes results from mapping exercise.
    • Produce various information products as required.
    • Support the program teams in preparing project report, annual reports, work plans. 
    • Manage the beneficiaries’ database and Design data collection tools.
    •  Ensure appropriate archiving of all paper data collection forms, in collaboration with program.
    • Develop the beneficiary’s registration survey and overseen the data flow among the different program departments. 
    • Responsible for the beneficiary’s data cross check in coordination with the sector. 
    • Responsible for producing regular activities and achievements reports to the program team. 
  • Responsible for organizing and providing training sessions for PAH and Partners filed staff to improve the data management and the documentation records as per PAH and Donors policy.

Knowledge management:

  • Provide support to ensure appropriate knowledge sharing with donors, media and with all strategic partners. Preparing specific dashboards and one pager.
  • Work closely with team to ensure information flowing systems are strong and data management is harmonized 
  • Ensure effective information management with team and partners 
  • Ensure gender and age aggregated data is available  

Other:

  • Complete any other data management and analysis tasks delegated by the supervisor.

The successful candidate will be selected based on the qualification requirements described below:

Education and Experience: 

  • BA in social sciences, (e.g. humanitarian affairs, political science, development studies, demography or a related field), or the equivalent combination of education and experience in a related area.
  • Proven experience working on information management and at least 1 years of professional experience in IM and/or M&E for the humanitarian sector, including secondary data reviews, 3/4/5W reporting, gap analysis, etc. 
  • Previous experience in data analysis to support assessments, service mapping.
  • Familiarity with Excel, desktop publishing software, and basic website management.

    • strong knowledge of statistical, conditional, and text-based functions
  • Mapping
    • ArcGIS
      • Basic understanding of map making process (Essential)
      • Power BI knowelge (experinced level)

  • Ability to synthesize large amounts of information into concise, effective resources for decision-making and advocacy purposes.
  • Flexibility, diplomacy, leadership, cultural sensitivity and the ability to work well both alone and in teams.
