Your Mission

You will be a part of the UA People team, managing Kyiv office space, whilst providing support for our daily administrative and people-related tasks (staff more than 70 EEs).

Your Responsibilities :

  • Maintaining comfortable, well-equipped and well-supplied office infrastructure (cooperation with business center representatives and other operational services suppliers on the office life support, purchasing of stationery, water, snacks, coffee etc.), control of Cleaner lady work.
  • Striving to continuously improve office conditions and level of comfort and in line with Nomad program rules
  • Welcoming new employees and visitors
  • Business trip administration (visa support, invitation letters, administration of booking provider platform and assist with the related agreements and account docs flow, being the contact point for the hosting countries current travel requirements (incl. Covid), other business trip questions assistance)
  • Planning and arrangement of all business events/meeting (realization of all UA visitor’s agenda, accommodation support, organization of UA+visitors business dinners etc)
  • Help People team in planning and implementation of all engagement initiatives (local and global, monthly and not regular/by local request), tracking their effectiveness, work with suppliers and assist with the related agreements and account docs flow
  • BBC merchandising planning, purchasing and recording (newbie welcome box items, birthday gifts, targeted branding materials еtc)
  • Help People team with internal communication (development, maintenance and filling the internal communication Slack channels with the content on different topics: any changes/birthday/engagement activities/upcoming holidays/surveys/interesting insights etc)
  • Managing courier delivery, corporate mobile and taxi policy, cooperation with suppliers of this services
  • Internal document flow management, work with internal recording systems (Workday/Gatekeeper)
  • Cooperation with global facility and engagement team on all run across questions

Your Qualification :

  • 2+ years of work experience in a similar role
  • Outstanding attention to details with a high level of accuracy, organized and thorough with a desire for continuous improvements
  • Strong Microsoft Office computer skills and/or GSuite - confident excel/google sheets user
  • Excellent team-work attitude and hands-on execution ability to deliver tasks in a timely manner
  • Ability to multitask, and manage a large to-do, excellent communication skills
  • Ability to create and maintain a friendly, welcoming and warm atmosphere in the office
  • At least Upper-intermediate English
