HelpAge – delivering real impact for older people

HelpAge International works with partners and a diverse global network of more than 150 organizations across 85 countries, supporting millions of older people to live safe, dignified and healthy lives. Through our partnership and collaborations, we work to ensure the inclusion of older people across society and strive to deliver a just and fair world for everyone, whatever their age. Our work is driven by our desire to deliver real impact for older people, to be inclusive, to work in partnership and to learn from our shared experience.

HelpAge International has been present in Ukraine since 2014 with a total workforce of +250 people including staff and volunteers/contractors.  As one of the few INGOs with an operational presence in Ukraine, we were able to respond quickly to the current Ukraine crisis with initial life-saving activities in the Donetsk and Luhansk Regions and are scaling up assistance in the Central and Western Regions of Ukraine.  Our response plan includes cash assistance, food distributions, NFI distribution/ health and dignity kits, WASH, Protection and Mental Health and Psychosocial First Aid. 

We are seeking passionate, talented candidates for several roles to further strengthen our country team.  

Key areas for impact/influence and responsibilities:

The Grants Coordinator will, under the supervision of the Country Director, and in liaison with the Regional Response focal point, provide support on all components of the grant lifecycle to ensure effective implementation and positive donor relationships

  • Act as the focal point for the Ukraine country programme for information on grants and donor requirements
  • Collate and communicate information on funding policies and formal requirements of the donor agencies for the Ukraine Country Programme, providing support and advice to managers and budget holders
  • Coordinate and monitor grant deadlines identifying and addressing blockers 
  • Provide regular reports on the status of grant funded projects
  • Coordinate the preparation of materials on the country programme which will contribute to business development objectives
  • Act as a focal point for small grants to local partners, working collaboratively with the finance team drafting agreements and overseeing the grant cycle including acting as signatory to grant closing, ensuring all aspects are compliant with HAI policies and procedures
  • Provide administrative and advisory support to local partner grant recipients, funneling additional support as required
  • Support the production of donor reports which are high quality, meet the requirements of the donor and are delivered on time
  • Contribute as a supportive team member of HAI, undertaking other organizational tasks as assigned 

Let's talk about you

You will be someone with:  

Essential

  • Knowledge and understanding of programme monitoring and/or grant management and the willingness and ability to develop a deeper understanding
  • Excellent organisational, planning and monitoring skills
  • Ability to build strong working relationships
  • Ability to distil large amounts of information for a variety of audiences 
  • Strong communication skills both verbal and written in English, Ukrainian and/or Russian
  • Strong numeracy and general finance skills
  • Experience in the usage of computers and office software packages (MS Word, Excel, etc)

Desirable

  • Good knowledge of donor funding proposals and policies
  • Knowledge of NGO programming in emergencies

Therefore you will also be responsible for:

  • Preventing harm and abuse from our people, operations and programmes, to anyone that encounters our work;
  • Reporting all safeguarding incidents you see, hear, hear about or suspect, using our internal reporting mechanism;
  • Complying with all safeguarding framework policies and practices
  • Completing mandatory training courses relating to our safeguarding policy framework and complying with HR vetting procedures
