Database/IT assistant

Premiere Urgence Internationale (PUI) is a non-profit, non-political and non religious humanitarian NGO. PUI started humanitarian intervention in Ukraine in February 2015. The mission's objectives are to improve or restore equitable access to primary health care for the local and displaced population affected by the military conflict and to improve their living conditions by covering their fundamental needs.

Place of work -  Kostiantynivka, Donetsk region or Remote work with field visits to Kostiantynivka.

Qualifications

Education Degree: Secondary school certificate or bachelor's degree in information systems, computer science, or a related degree       

Work experience: At least 2-3 years of experience working as an IT Assistant. Previous work experience with NGO highly desirable.

Language Skills: Fluent in Ukrainian, Russian, and upper intermediate (B2 according to the Common European Framework of Reference for Languages) level in English (speaking/reading/writing).

Knowledge & skills: 

Certifications offered by certain hardware and software vendors, such as Microsoft

Knowledge of computer networking systems and computer hardware is essential. 

Experience in troubleshooting of network systems and computer hardware and make repairs when necessary.

Must be knowledgeable about computer hardware and software.

Tasks and Responsibilities:

1. Ensure accurate and consistent inputting of data from program teams and partners in PUI data bases

1.1       Make sure all forms are designed, managed and saved properly according to PUI guidelines.

1.2       Make sure databases are functional and data available for reporting 

1.3       Manage access authorizations to relevant PUI staff members and partners in accordance with their scope of activities.

1.4       inform the line manager about any unauthorized changes in database.

1.5       Ensure that PUI staff and partners at all bases are informed and trained on PUI's procedures, tools and equipment how to use database and fill the forms efficiently.

1.6       Support PUI program teams in data collection and in the design of new databases based on program needs. 

1.7       Provide advice and guidance into the types of qualitative and quantitative data that should be collected within the database.

 2.         IT Support:

2.1 Deal with requests from PUI staff members and partners to provide them with technical support in case of issues arising with PUI digital and IT equipment.

2.2       Confirm options proposed for the resolution of technical issues arising with PUI digital and IT equipment with Logistics Coordinator.

2.3       Carry out a diagnosis for all PUI equipment to be returned to France for after-sales service and verify with the Headquarter IT Department in guidance of Logistics Coordinator.

2.4       Ensure minor repairs to PUI digital and IT equipment, including printers and scanners.

2.5       Setting up new equipment and upgrading existing systems under the supervision of the Logistics Coordinator.

2.6       Small equipment’s maintenance.

2.7       Training staff on new systems or software applications.

2.8       Extract data upon request from the program teams.

2.9       Develop new data sharing and collection systems according to the project needs.

2.10     Minimize database downtime and manage parameters to provide fast query responses.

2.11     Maintain strict confidentiality in all aspects of the work. 

2.12     Make sure database has back up versions in accordance with the needs of the program teams.

2.13     Report any untoward incidents to Line Manager

 3.          Others

3.1       Participate in development of weekly and monthly reports on project implementation;

3.2       Participate to the development and implementation of tools for data collection, quality evaluation, measurement and analysis methods;

3.3       Identify gaps and contribute to improve monitoring and reporting mechanisms; 

3.4       Participate in internal and external meetings if required;

3.5       Participate in collection of information on cyber security issues.
