Information Management Assistant

Danish Refugee Council/Danish Demining Group (DRC/DDG) is an international non-governmental organization, which promotes and supports durable solutions to the problems faced by refugees and internally displaced people all over the world.

 

DRC-DDG Ukraine is looking for a highly qualified Information Management Assistant in order to support and enhance the information management cell in line with increasing requirements.

 

Overall purpose of the role:

  • Facilitate reporting, archiving, and support to other data collection and data entry needs.
  • Assist in the coordination with DRC-DDG field and programme staff to support all information management and monitoring needs.

 

Your main duties and responsibilities will be:

Data maintenance

  • Assist in database design, data entry, and daily maintenance of the organisation's databases.
  • Assist in developing data collection tools and/or data entry tools.
  • Generate monitoring reports and perform backup operations; contribute to the formatting and development of documents regarding collected data.
  • Support to coding of online tools and Kobo/ODK forms.
  • Perform data quality checks of the database on a weekly basis, reporting any issues and changes to the IM field coordinator.
  • Manage tablets, keeping safe, updated with correct forms, data uploaded and keep tracking the changes on the Kobo tools.
  • Ensure information is consolidated into one database and is up-to-date; identify missing data and follow up with Team Leaders.
  • In line with DDG GOP/SOP, keep all data protected and confidential.
  • Assist in Mine/ERW casualties' database updating.

 

Administrative support:

  • Assist in carrying out administrative tasks if needed.
  • Assist in creating presentations and related materials.
  • Assist in organizing and delivering training sessions, working meetings for both internal staff and external stakeholders.
  • Providing Database related assistance to office staff as needed.
  • Support Team Leaders in technical application of the database in instances where the data entry is undertaken by programme staff.
  • Support programme colleagues in case of any Database difficulties or questions regarding the database and IM in general; provide trainings for colleagues on how to use the database.
  • Carry out any other relevant duties as requested by the Information Management Coordinator and DDG Operations Manager.

 

About you

Required experience and competencies

  • Bachelor's degree in Computer Science or similar technical field, and/or experience in database maintenance and database administration
  • At least 1 year experience in database management (creating new data structures/tables)
  • Advanced knowledge of MS Office particularly in MS Access, Excel
  • Familiarity with Kobo Data Collection / ODK preferred
  • Technical knowledge of network and PC hardware
  • Knowledge of GIS software is a plus
  • Working level of spoken and written English, Fluency in Ukrainian and Russian.

 

We offer

  • Contract length: 1 year with the possibility of extension based on available funding (3 months' probation period).
  • Level: I2 non-management
  • Start date: ASAP
