Save the Children is an international non-governmental humanitarian organization that has been advocating for the rights of boys and girls for almost 100 years, in more than 120 countries around the world. Save the Children has worked in Ukraine since 2007 alongside partners and has responded to the humanitarian crisis in Eastern Ukraine since 2014. Save the Children’s activities in Eastern Ukraine focus on the areas affected by the conflict, where the most vulnerable children and their families live and address their needs in protection, education, food security and livelihoods.

CHILD SAFEGUARDING: Level 3:  the role holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work in country programs; or are visiting country programs; ore because they are responsible for implementing the police checking/vetting process staff. 

ROLE PURPOSE: 

To provide a professional HR support to SCI operations in Ukraine and to support the Field Manager and HR/Admin Senior Manager in all HR related tasks including providing support for national recruitments, maintenance of employee databases, personal files, HR trackers and reporting on request, and other ad-hoc duties as required.  

 SCOPE OF ROLE: 

Reports to: HR / Admin Manager 

Staff directly reporting to this post: None 

Budget Responsibilities: None 

 KEY AREAS OF ACCOUNTABILITY:

HR support

  • Collects primary data (i.e. personal data, contracts/agreements, policies signed, certificates of trainings completion, etc), ensures its availability in personal files
  • Preparation of HR related agreements, documents, orders, letters, certificates in accordance with Ukrainian legislation 
  • Supports HR/Admin Manager in tracking timesheets completion for National/International staff
  • ·       Collects, checks and tracks Leave Forms and supports to update Leave Tracker for National/International staff, supports 
  • Maintains and regularly updates information on completed inductions for new staff;
  • Communicates with IT team on staff e-mails accounts issues;
  • Maintains all trackers for quick retrieval of information as and when required (leave tracker, recruitment tracker etc.)
  • Supports HR/Admin Manager with data for submitting payroll payment documents to Finance department;
  • Responsible for proper data management of documentation and reports for support staff (contracts for support, act-invoices, recommendation letters, travel reports etc.);
  • Assists in updating the Performance Management system, and prepares reports on needs basis;
  • Provides support in all tasks related to day-to-day HR activities;
  • Helps to proceed with insurances for staff;
  • Requesting ID cards and Business Cards for staff;
  • Supports HR/Admin Senior Manager in preparing documentation for liaison with external parties on staff registration, taxation, insurances, learning & development, wellness, and others.
  • Supports in organizing and conducting team-building activities, training for Ukraine Save the Children staff.  
  • Supports HR/Admin Manager in proper documentation and conducting recruitment processes as per requirement of Safe Recruitment principles.
  • Ensures timely and correct records updates in HR Oracle System. 
  • Support with administrative functions when needed.

 QUALIFICATIONS AND EXPERIENCE

  • Certificate of education, higher level of education desirable
  • Minimum 1 years’ experience in HR or data management related work 
  • Knowledge of Ukrainian labour legislation 
  • Knowledge or experience of NGO work desirable
  • Knowledge of Oracle HR/ Taleo systems desirable 
  • Excellent interpersonal skills
  • Good verbal and written communication skills in English (B2 or higher), and Ukrainian/Russian
  • Computer literate (including working knowledge of Microsoft Office, and databases)
  • Excellent attention to detail, organisational skills and discretion with confidential information
  • Proven ability to handle challenging work load
