AIM OF THE POSITION

Assistant to Water and Habitat (WatHab) department provides administrative and secretarial support to department. Carries out the tasks mentioned below under the direct supervision of the Head of Water and Habitat department.

CORE RESPONSIBILITIES

  • Performs various office work which requires computer knowledge and secretarial skills;
  • Provide general administrative support to the WatHab Team;
  • Translates from one or more languages into English, Ukrainian or Russian;
  • Ensure information flow within the Department / Sub-Delegation;
  • Creates and maintains paper or electronic files up-to-date;
  • Support Engineers in field activities;
  • Provides information to their supervisor and project colleagues on stakeholder issues, security and site progress;
  • Manages project purchasing on labor and materials according to the delegation's logistical and financial rules;
  • Creates and maintains paper or electronic files up-to-date;
  • Organize and maintain Departments filing (projects and others);
  • Updates and manages the WatHab Project Assistant (WPA) database, with input from Engineers in charge of projects and in coordination with Head of department;
  • Updates the requests and Project Table coordinating with Head of department;
  • Supervises the weekly planning process of Field Trips;
  • Organize briefing and debriefing for all incoming or outgoing colleagues (Resident and Mobiles);
  • Compile and dispatches the Bi-weekly operational report of Ukraine Delegation;
  • Compile and dispatches the weekly assistance report of MRI SubDelegation; 
  • Proposes proactively ways to improve and simplify assistant work and tasks;
  • Translates from one or more languages into English, Ukrainian or Russian and/or edits in mother tongue a wide range of ICRC texts, within agreed deadlines, ensuring high quality and appropriate terminology;
  • Produce the WPA monthly progress report (supporting Kiev role), contribute in the elaboration of quarterly reports;
  • Support the engineers in preparation and management of paperwork related to WatHab activities;
  • The assistant may carry out projects by herself/himself which does not require technical knowledge but administrative and internal procedures;
  • Support for preparation and filing of all Payment requests and SR, financial forecasts, AoE requests and follow-up;
  • Follows up budget expenditures;
  • Collaborates with Logistics Department, in particular preparation of Supplier Request (SR) and specifications for commodities;
  • Perform arrangement activities with regard the trainings, meetings and seminars;
  • Maintains the CCC requests to WatHab and transfer them to relevant Engineer for further processing;
  • Maintains CDP for the WatHab team in Mariupol.  

The tasks and responsibilities defined above are not exhaustive and can evolve depending on organizational needs.

POSITION REQUIREMENTS 

Education and professional qualifications

  • Excellent command (spoken and written) of English, Ukrainian and Russian;
  • High school diploma or equivalent training;
  • 1 - 3 years' experience in a similar field;
  • Computer skills, including Microsoft Office suite, SharePoint and IBM Lotus Notes;
  • Experience with mobile data collection tools;
  • Capacity to adhere to and to implement procedures;
  • Good communication skills;
  • Rigor, method and analytical skills;
  • Experience with humanitarian organizations and basic engineering knowledge will be an asset.
