    The International Committee of the Red Cross (ICRC) is an impartial, neutral and independent organization whose exclusively humanitarian mission is to protect the lives and dignity of victims of armed conflict and other situations of violence and to provide them with assistance.

     

     

    The ICRC is mandated to work in countries affected by armed conflict or other situations of violence. The ICRC is present in over 80 countries and has some 13,000 field staff.

     

     

    In 2014, the ICRC expanded its presence to Ukraine. There are more than 300 ICRC staff working in Kyiv, Sloviansk, Severodonetsk, Mariupol, Donetsk, Luhansk and Odesa.

    WELCOME ASSISTANT

     

    Based in Kyiv

     

     

    AIM OF THE POSITION

     

    We are looking for a Welcome Assistant to perform a variety of administrative and clerical tasks as well as to assist in organisation of travel and events arrangements, handle legal stay/visa procedures.

     

     

    CORE RESPONSIBILITIES

     

    • Organise all travel related procedures;
    • Support activities of event arrangements (liaison between organizers & service providers);
    • Update lists & data bases to ensure the proper handling of travel files;
    • Handle all the administrative work related to Welcome department (invoice payment procedures, mobile phones updates, etc.);
    • Welcomes and registers all visitors at the main entrance, directing visitors to their destinations, answering visitors' enquiries;
    • Operates the telephone switchboard: handles all type of incoming and outgoing phone calls, Answers phone calls, transfers it to appropriate person or notes the information, make the calls registration;
    • Executes simple office work: updates of telephone numbers, updates of lists, makes a deal with printer/scanner / helps other staff if needed;
    • Organises and follows up the process of business cards ordering;
    • Receives and sort daily mail/deliveries/couriers.

     

     

    The tasks and responsibilities defined above are not exhaustive and can evolve depending on organizational needs.

     

     

    POSITION REQUIREMENTS

     

    Education and professional qualifications

     

    • Secondary school level or a technical school
    • 2 years work experience in similar field of activity
    • Good knowledge of spoken English and basic knowledge of written English
    • Basic computer knowledge
    • Rigorous and methodical person
    • Capacity to adhere to ICRC procedures

    • Ability to multi-task is a must;
    • Confident, strong-willed person;
    • Ability to make decisions and act in a timely manner;
