arche noVa - initiative for people in need is a religiously independent non-profit, non-governmental organisation (NGO) based in Dresden, Germany, working in the field of humanitarian aid, rehabilitation and development. Our primary focus is Water, Sanitation and Hygiene (WASH). Further information about the organisation: www.arche-nova.org

arche noVa is starting a relief program in Ukraine responding to the unprecedented humanitarian crisis. Since the 24th of February 2022, the war in Ukraine shows no signs of abating and continues to drive increasing humanitarian needs across the country, especially in eastern Donetsk and Luhansk oblasts. The hostilities have resulted in civilian casualties that continue to grow and significant damage to infrastructure and buildings. The war has affected all spheres of life and uprooted over 12 million Ukrainians, including children. 

For the implementation of the arche noVa relief measures, we are looking for an Administrative (Office) Assistant (national position)

Duration: until the 30th of April 2023 with the possibility of an extension

Position to be filled: asap

Duty station: city of Kyiv

Contract: consultancy or labour, with one month of a probation period 

Responsibilities:

  • Supporting the relief measures implementation by the provision of a range of administrative services required for the arche noVa`s office smooth operation  
  • Supporting the Finance & Administration Coordinator (F&AC) and other team members in daily processes and tasks
  • Collect supporting documents, review for completeness and accuracy, prepare payment vouchers and submit for review and approval
  • Be responsible for copying, scanning, filing and maintaining of accounting and finance records, reports and other documents in a proper and sequential manner
  • Processing other documents including financial, HR, procurement, logistics and others ensuring compliance with donors' guidelines, arche noVa internal regulations and Ukrainian legislation
  • Translating from English into Ukrainian and vice versa upon request (both orally and in writing)
  • Contributing to the organization of online and offline events
  • Preparing and distributing agendas and minutes of meetings
  • Performing other relevant duties as and when required

Requirements:

  • Degree/certificate in administration, HR, finances or other relevant areas
  • At least 3 years of demonstrated relevant experience
  • Background in accounting and/or finances is preferable
  • Experience in working with a large amount of documentation, checking its completeness and correctness
  • Strong computer skills, particularly in MS Office (Word, Excel, PowerPoint etc.) 
  • Good command of Ukrainian and English (both written and spoken) is mandatory
  • Ability to work in a team 
  • Strong self-organisational skills
  • Ability to work under stress
