DESCRIPTION

Currently, we are looking for an energetic Administrative Manager with strong facility management, administration, and leadership skills to join Lviv offices administrative team. As an Administrative Manager, the candidate will be responsible for delivering the best practices of facility management at company-managed facilities. The candidate also has to follow all corporate practices/policies and all applicable laws and regulations. They will be in charge of implementing and managing safety, health and environmental processes, security systems, business controls processes, budget and planning processes, asset management including operations and maintenance processes.

The Administrative Manager is responsible for operations and planning of EPAM's facilities in Lviv. The ideal candidate is supposed to be familiar with property and facilities management, be committed to drive customer experience improvements and have a meticulous approach to details. Strong business acumen and communications skills are also critical as the candidate will interact with senior leadership and various departments throughout the organization.

RESPONSIBILITIES

  • Direct supervision of multiple employees to include, hire, fire, and performance management;
  • Ensuring professional interaction with public, vendors and staff;
  • Maintaining effective working relationship and efficient cooperation with site management team to meet customer and company objectives;
  • Responding to all emergencies as requested;
  • Prepare files, reports, and other documents related to work performed as requested;
  • Evaluate staff and make recommendations for promotion and discipline;
  • Ensure that staff receives training in complex maintenance activities and follows established, standard operating procedures;
  • Perform other tasks as assigned;
  • Developing an understanding of the office operation, and find ways to use the experience and skills to support the business positively;
  • Proactively maintain a safe, comfortable, and secure environment for staff;
  • Ensure compliance with applicable policies, including Health and Safety and lease obligations;
  • Be responsible for supplier management, including existing service provider contracts, developing new contracts, and ensuring that service levels are being met and exceeded;
  • Manage internal building/maintenance projects including department moves;
  • Manage competing priorities effectively ensuring that all relevant parties are informed of the status of your allocated tasks;
  • Follow and adhere to policies and procedures as they are implemented;
  • Ensure practices are compliant with the Company's non-disclosure and communication policies;
  • Be available for emergency out of hours assistance and cover;
  • Managing office refurbishments, renovations and moves as well as fit-out projects including the appointment of necessary specialists and sub-contractors and monitoring delivery quality;
  • Ensure that security and emergency procedures are robust and adhered to at all times, take an active role in the event of emergency situations;
  • Manage and lead maintenance and cleaning team to ensure the facility is up to expected standards;
  • Provide food service in the office (coffee, snacks, cafeterias, coffee machines, etc.);
  • Responsible for reception service.

REQUIREMENTS

  • Previous experience on a similar position;
  • Strong facility management and operational skills including an outstanding understanding of administrative procurement process and space planning strategies;
  • Self-directed, able to work autonomously and take accountability for the project;
  • Ability to plan and see the "big picture";
  • Excellent communication skills: write and speak confidently, concisely, and clearly;
  • Excellent time management skills and ability to multi-task and prioritize work;
  • Attention to detail and problem-solving skills;
  • Competent in conflict and crisis management;
  • Microsoft Outlook, Word, Excel proficiency;
  • Intermediate English.
